  • Support tier: business hours versus priority support.
  • Contract length: annual commitments are usually discounted against monthly.

Which hidden fees should you watch for?

  1. Implementation and onboarding fees, sometimes a one-off in the hundreds or thousands.
  2. Job board connection charges, where each integration is its own line item.
  3. Volume caps on parsing, emails or storage that quietly convert to overage fees.
  4. API access sold as a premium feature.
  5. Premium support required to get answers within a working day.
  6. Exit costs: export fees, or a format that makes leaving painful.
  7. Unbundling: the demo showed everything, the tier you bought did not include all of it.

None of these are universal, but every one of them is common enough to ask about explicitly. Get the answers in writing and price a full year, including one busy quarter.

Per-seat vs per-job vs usage-based: which is cheaper?

It depends on one ratio: how much recruiting work happens per person with a login. Heavily used seats favour per-seat pricing. Many occasional users, spiky volume or a part-time desk favour usage-based pricing. Per-job pricing only suits desks with a stable, small number of always-on vacancies. How should you budget for an ATS?

Take the list price, add expected overflow for your busiest quarter, add any onboarding fee, then compare that twelve-month total against the value of a single placement.
