Which ATS has transparent pricing?
Workable, Recruitee and Recruitifly publish real ATS prices; most enterprise suites are quote-only. How to spot transparency and why quotes land 40-60% over.
On this page
Mostly the tools built for small and mid-size teams. Workable, Recruitee, Breezy HR, JazzHR, Manatal and Zoho Recruit all publish their tiers, and Recruitifly publishes every number it charges: EUR 70, EUR 250 and EUR 599 per month plus an enterprise tier from EUR 2,500, with seats, allowances and overage prices listed on the pricing page. Greenhouse, Lever, Bullhorn, iCIMS and SmartRecruiters are quote-only at the time of writing. The dividing line is the sales motion: products designed to be bought show their prices, products designed to be sold do not.
What does a hidden price predict about the buying process?
A contact-sales button is not an oversight, it is a strategy. Hiding the price lets a vendor charge each customer what that customer can pay. Doing that requires a salesperson to qualify your budget, a demo to anchor value before any number appears, and a quote tuned to whatever you revealed. So a hidden price reliably predicts the process: a discovery call, a scheduled demo, a proposal, usually a follow-up call to walk through the proposal, and a number that exists only in a PDF with your company name on it.
None of that is sinister, and for a genuine enterprise rollout it can be reasonable. But it carries two costs for smaller buyers. The first is time: you spend weeks finding out whether a tool was ever inside your budget. The second is asymmetry: the vendor knows what every customer pays, and you know one data point. The same opacity returns at renewal, when your data and workflows already live in the system and the leverage has moved to the vendor’s side of the table.
How do you recognize genuinely transparent pricing?
A number on the website is the start, not the finish. A genuinely transparent vendor publishes four things:
- Public tiers with real prices, monthly and annual, for every plan you can buy without a salesperson.
- Published limits: seats included, the price of an extra seat, and the usage allowance per tier.
- Clear overage rules: what happens at the cap, and what the next unit costs, in print.
- No surprise fees: setup, onboarding and support either cost nothing or are disclosed before you ever make contact.
Recruitifly is built to pass all four tests. Tiers cost EUR 70, EUR 250 and EUR 599 per month, or EUR 58, EUR 208 and EUR 499 billed annually, roughly 17 percent less. Extra seats are EUR 70, EUR 60 or EUR 50 depending on tier, and every tier includes unlimited jobs. The metered unit is defined in public too: an Action is one piece of automated work, such as parsing a CV or having the Fly assistant draft outreach for your approval, and if you outrun your allowance, top-up packs start at EUR 30 for 250 and never expire. There is a 7-day trial, no setup fee on any self-serve tier, and even the enterprise tier, from EUR 2,500 per month, says upfront that a one-time setup fee exists instead of producing it in the proposal.
The practical difference while you shop:
| What you want to know | Transparent vendor | Quote-only vendor |
|---|---|---|
| The price | On the website in two minutes | After a demo and a discovery call |
| Limits and overages | Published per tier | Buried in the order form |
| Extra seats | A listed price | “Talk to your account manager” |
| Setup and onboarding fees | None, or disclosed upfront | Revealed in the proposal |
| Renewal | The same public price | A second negotiation |
The questions a price page should answer before you talk to sales
Read any pricing page against this list. Every “it depends” you find is a topic the sales call will control instead of you.
- What is the billable unit? Per seat, per active job, or per unit of work. The unit decides how your bill scales, and we run the arithmetic for each model in usage-based pricing vs per-seat ATS.
- What does your exact team cost? Seats included, the price of seat number four, and who counts as a billable user. Hiring managers who only leave feedback sometimes bill like recruiters.
- Where are the caps? Jobs, candidates, parses, emails, automation credits, and the published price of exceeding each one.
- What is gated behind higher tiers? Reporting, API access, bulk actions and exports are the usual hostages. Recruitifly publishes its gating grid, talent pool intelligence from Pro and bulk actions and exports from Agency, so you can check the tier you can afford against the features you actually came for.
- What is the contract? Monthly versus annual, the size of the annual discount, and the notice period for cancelling.
- What does leaving cost? Whether a full export of candidates, notes and documents is included, or sold back to you as a service.
How far above the sticker do quote-only prices land?
Plan for the final number to sit well above the first one mentioned. Buyers comparing notes on quote-based contracts consistently report first-year totals landing 40 to 60 percent above the early sticker once the extras arrive: a one-time implementation fee, mandatory onboarding or training, per-integration charges for job boards and HRIS connections, the support tier that answers within a day, and API access sold separately. None of these is exotic. We itemize them in how much does an ATS cost in 2026, and any single one can exceed a month of subscription.
The corollary is that a quote is an opening position. Vendors that price per deal expect negotiation, which cuts both ways: annual prepayment or a competing quote pushes the number down, and renewal pushes it back up. If you do choose a quote-only vendor, negotiate a renewal cap in the same breath as the entry price, while you still have alternatives.
A short checklist before you sign
- Per-seat or usage? Count your heavily used seats against your occasional ones, then pick the model that tracks your work rather than your org chart.
- Contract length. Take monthly for the first quarter even if it costs more, and switch to annual once the workflow has survived a busy month.
- Tier gates. List the five features you came for and confirm each exists in the tier you priced, not just in the demo.
- The full year. Sticker, plus overages in your busiest quarter, plus every fee above. If the budget only closes with a free plan, read free ATS vs paid: what’s the catch first, because free has its own price.
Vendors with public pricing turn this checklist into a ten-minute exercise, which is the real argument for shortlisting them first: a vendor confident enough to publish prices plans to win on product, not on negotiation. Recruitifly is in private beta at the moment, with every number in this article published and kept current on the pricing page. If you want to pressure-test a quote you have received, talk to us; the comparison is usually educational in both directions.
Frequently asked questions
Why do ATS vendors not show pricing?
Because deal-based pricing earns more from buyers who can pay more. Hiding the number lets a sales team qualify your budget, anchor value with a demo before any price appears, and quote each company differently for the same software. At the enterprise end it also reflects genuine variation in seats, modules and integrations. Treat a hidden price as a signal: the process will be sales-led and the quote will be negotiable.
What should an ATS price page include?
Real prices per tier, monthly and annual; seats included and the cost of an extra seat; usage limits and the published price of exceeding them; which features are gated behind higher tiers; any setup, onboarding or premium support fees; trial terms; and contract and cancellation terms. A page that answers all of that lets you budget a full year before speaking to anyone.
Are quote-based ATS prices negotiable?
Almost always. The first quote is an opening position, not a price list. Buyers regularly secure 10 to 30 percent off through annual prepayment, multi-year terms, end-of-quarter timing or a credible competing quote. Negotiate a renewal cap at the same time, because year-two increases are where deal-priced vendors recover the discount. Vendors with published prices remove the game entirely: what you see is what everyone pays.
What hidden fees come with an ATS contract?
Expect one-time implementation or onboarding charges, per-integration fees for job boards and HRIS connections, premium support tiers, API access sold separately, volume caps that quietly convert to overage charges, and export fees or friction when you leave. None are universal, but each is common enough to ask about in writing before signing, and to price over twelve months rather than one.
